Adequate Infosoft partnered with a premier European Property Management Company that manages a large, diverse portfolio of more than 1200 units consisting of high turnover Airbnb rentals, small boutique hostels, and long-term residential apartments across Berlin, Paris, and Madrid.

The client was confronted with a "triple threat" of dramatically rising energy costs in Europe, a major operational issue with manually handing keys to guests, and the difficulty of maintaining a high level of guest satisfaction among the various types of properties.

To address these issues, we developed a fully customized IoT and AI enabled Rental Property Management System (RPMS) that provides the client with a single, intelligent dashboard from which all operations can be managed.

The Challenge: Fragmented Operations in a High-Cost Market

  • Logistical Friction

    Employees were spending 15 or more hours a week in order to travel back and forth to exchange manually operated key arrangements or to replace lost keys.

  • Energy Wastage

    Heating was often used at full capacity in many cases when the room would otherwise be empty. This led to utility bills that consumed 22% of total revenue for hostels and Airbnb rentals.

  • Communication Delay

    Management of both Airbnb and Hostelworld inquiries on multiple platforms created slow to respond exchange times and negatively affected their overall “Superhost” rating and their search ranking.

  • Security Issues

    Because hostels have a rapid influx and outflow of guests, there are often no accounting controls to assist in tracking unauthorized access by an "unauthorized guest" into/around common areas.

Rental Property Management System

The Solution: A Unified "Living" Infrastructure

We developed a cross-platform ecosystem consisting of a Web Admin Portal, a Tenant/Guest Mobile App, and a Staff Field App, all integrated with a centralized AI-IoT gateway.

The Smart Access Layer (IoT)

We replaced traditional locks with AES-256 encrypted Smart Locks.

  • Unique Feature: Dynamic Code Synchronization. The system automatically generates a unique 4-digit PIN for every guest upon booking confirmation. This code only activates at the precise check-in time and expires instantly at check-out.
  • Hostel Application: For hostels, we implemented NFC-based smartphone entry for dorm rooms and communal zones, eliminating the need for plastic keycards.

The AI "Green" Energy Optimizer

To combat European energy prices, we integrated IoT thermostats and occupancy sensors.

  • Pre-heating : The AI assesses the local weather forecast and when the guest arrives at the apartment to determine when to start pre-heating the apartment. Pre-heating will begin 30 minutes prior to a guest's arrival but the heat will not exceed "survival minimum" level (12°C) while a guest is not present in the apartment.
  • No Window-Open Notification: If a guest leaves a window open with the heater running, a polite automated message will be sent to the guest and the HVAC system will throttle back to eliminate waste.

Guest AI Concierge & Sentiment Analysis

We implemented a NLP engine to manage communications via messages.

  • Autonomous reply : The AI automatically replies to approximately 85% of questions that are frequently asked. Example questions are as follows "What is the wifi code?" and " How do I use the coffee machine?" These replies will be provided in the guest's preferred language.
  • Sentiment Red-Flagging: The AI will analyze every incoming message looking for keywords, or phrases, which would indicate frustration. These would include keywords or phrases such as "dirty", "cold", or "broken". In these instances, the AI will bypass the automated response and immediately contact a human manager to notify them of a "High Priority".

Automated Maintenance & Housekeeping (The Staff App)

Housekeeping was traditionally scheduled via Excel. We transformed this into a Real-Time Task Engine.

  • Cleaning based on IoT : As guests check out via smartphone, or when a smart lock detects the "last exit," a notification is instantly pushed to the nearest cleaner's mobile app.
  • Predictive Maintenance: Industrial washing machines and hostel boiler sensors continually monitor for vibration. Our artificial intelligence (AI) system detects abnormal behavior, and notifies the client so that they can rectify the issue before hostel guest’s wake up to surprise cold showers.

Unique "Smart" Features Delivered

The "Anti-Party" Noise Monitor

Integrated with Minut sensors, the system monitors decibel levels without recording audio (privacy compliant). If noise exceeds a set threshold for more than 10 minutes at an Airbnb, the system sends an automated "Please keep it down" text to the guest. If it persists, it alerts the property manager.

Dynamic Pricing 2.0

Unlike standard tools that only look at occupancy, our AI analyzes local events (festivals, football matches), weather, and flight price surges to Europe to adjust prices every 4 hours, ensuring the client never leaves money on the table.

The "Digital Guidebook" with Upselling

Inside the guest app, we integrated a location-aware guidebook.

  • Revenue Stream: It offered "Late Check-out" for €20 or "Luggage Storage" at the click of a button—options powered by real-time availability of the next guest's arrival time.
